
When you’re running a small business, it’s vital that you are as productive as possible and use your time effectively. Here are a few suggestions to help you save time:
Try to minimise the number of distractions which stop you in your tracks when you’re busy working away.
Email
If you use Microsoft Outlook, change the settings so that you don’t get a new message notification. We all love ‘new’ things and curiosity can sometimes get the better of us, so by switching off these notifications, you can more easily concentrate and be more productive.
BlackBerry
If you use a BlackBerry, change the settings so that the red light doesn’t flash when you have a new message and it doesn’t vibrate either.
TweetDeck
If you use TweetDeck to view your Twitter account, change the setting so that you stop getting notifications.
Have a place for everything in your office and home and make sure you put everything back in that place, when you’ve finished with it. For example, always put back your keys in a particular place. It saves you rushing around searching for them, when you’re in a hurry to leave the house.
If you use Microsoft Outlook, set up reminders to prompt you to do particular tasks. You’ll then have advance notice of things you need to do, plus they’ll not be forgotten and you won’t have a last minute panic. It also frees up your ‘head space’.
If you need to do some similar tasks, it’s much more productive to do them altogether, rather than stopping and starting.
So, for example, if you need to make a few phone calls, spend 10 minutes making all the calls, one after the other. What also helps to save time is to have the telephone number for each call written down next to the call on your list.
If you need to go to your nearest town/village, make a list of the errands that you need to do there. For example, paying in cheques at the bank, buying stamps at the post office, dropping off clothes at the drycleaners and popping into the supermarket. Better to do them all in one go rather than several trips, thereby saving time.
